Where can I get help in organising a conference?

Initially by telephoning the Conference Office on 046 603 8558 or emailing conference@ru.ac.za. Not only can we advise on potential University venues, but we can also   offer a full delegate registration service, regardless of the venue.

Where can visitors to the University stay?

Depending on your budget there are several options - The University of Rhodes has a modern 8 Bedroom Lodge on Gilbert Street, but its availability needs to be discussed first with the Conference Manger. The University also has The Continuing Education Centre which offers accommodation all year round. Alternatively accommodation is in standard student bedrooms and is available during the vacations. We also have cordial relations with several local hotels and can book rooms for you. Availability of the above venues needs to be confirmed first with The Conference Manager.

What is the capacity of your largest meeting room?

Barrat Venue, on campus, which can seat up to 420 delegates, and is fitted with the latest high specification audio-visual equipment.

Is car parking free of do I have to pay?

Car parking is free on Rhodes University premises and is available at most of the halls of residence although availability is restricted in term-time. There is also free parking at the Eden Grove and Barrat Lecture Complexes which are only a short walk from a number of our venues.

Do delegates have access to leisure facilities?

Delegates are welcome to use the sports and fitness facilities available at the Rhodes Campus. We also have extensive playing fields and are able to host large scale sports tournaments. There is a fully furnished and modern Gym which can also be made use of.

Can I do my own catering?

Unfortunately we cannot allow external catering in our venues.

Do you have an in-house audio-visual service?

Yes, our conferences and events throughout the University are supported by an expert in house team. All of our meeting rooms within teaching buildings are equipped with a data projector, screen and writing surface as standard which is included in the room hire price and many of the theatres and classrooms also offer data and video projector and internet access, including Wi-Fi, which is available across most of the University venues.

 Do you have a year round conference venue?

The Continuing Education Centre is our year round conference venue coupled with accommodation facilities. Since it is our premier conference/seminar venue its availability needs to be discussed first with the Conference Manager

Where is the nearest airport?

Port Elizabeth International Airport is located 120km outside Grahamstown. It is an international airport that services most international and local destinations.

Who will be looking after my event on the day?

The Conference Manager will be responsible for ensuring that all the arrangements are in place for your event and who will be available for part if not all of the event. Conference Coordinators will also be on hand to ensure the smooth running of your conference.

What are your terms and conditions for making a booking?

No refund is given unless notification of any cancellation is received in writing. A cancellation levy of 40% is levied up to   7days of the booking. Cancellations received within 4 days prior to arrival, incur a levy of 50% of the booking charge.  No refunds are given for cancellations on or after arrival date.  An admin fee of 10% is levied for all cancellation done before the 7 days.

Do you have a policy for handling complaints?

Yes we have a sound and fair policy for handling customer complaints. All complaints are taken seriously and appropriate action will be taken when necessary.
