Replacing Toner Cartridges

This document is aimed at Student Networking House Reps.  If you're not a house rep and you're trying to get a toner cartridge replaced in your residence's printer, find your house's rep and get them to do this for you.


A toner cartridge, which contains toner powder, is a component of a laser printer that is used to produce printed images on the paper in the printer. Over time this toner powder is used up and the toner cartridge needs to be replaced. The LCD display on the printer will display a message when the time comes to replace the toner cartridge.

In order to get a replacement toner cartridge, you'll need to take the old toner cartridge and a print out of the printer's Configuration Page to your Hall Administrator.

The following procedure explains this in more detail:

  • Before the old toner cartridge is removed, print the printer’s Configuration Page. From the printer’s front button panel, perform the following:

    • Press the green Select button to display the MENUS menu

    • Press the Down Arrow button until the INFORMATION menu is highlighted
    • Press the green Select button to display the INFORMATION menu
    • Press the Down Arrow button until the PRINT CONFIGURATION menu is highlighted
    • Press the green Select button to print the Configuration Page
  • Once the Configuration Page has been printed, write the following information on the Configuration Page

    • The date
    • The type of toner cartridge (e.g. HP51X). This number may be found on top of the toner cartridge printed on the label
    • The name of the residence from which the toner cartridge came
    • The asset of the printer number from which the toner cartridge came. The asset number may be found written in black marker on the side of the printer
  • Once this information has been recorded, the toner cartridge may be removed in the following manner:

    • Lift the top cover of the printer
    • Once the top cover of the printer has been lifted, the toner cartridge will be exposed
    • Grab the toner cartridge with one hand and gently pull it towards yourself to remove it
    • The toner cartridge should look similar to the one shown in the image below

  • Now take the old toner cartridge and the configuration page to your Hall Administrator. They'll give you a replacement cartridge in exchange for these two things.

  • Once you have a new toner cartridge, it may be placed back in the printer as follows:

    • Remove the new toner cartridge from its box, and remove the outer plastic packaging
    • Remove the plastic protective strip from the toner cartridge by pulling the green or orange tab on the side of the cartridge (instructions for doing this are on the box)

    • Lift the top cover of the printer
    • This will expose the slot into which the toner cartridge is placed
    • Gently place the toner cartridge into the slot, and push it away from you

    • Once the toner cartridge is in place, close the top cover. This will cause the printer to go through its self-check cycle to make sure everything's okay
  • The printer should now be ready to print
