Box-Room Protocol

There are box rooms available in each Residence for students to leave their belongings during vacations when they need to pack up their rooms.

Please follow the Box-Room Protocol and guidelines below:

  • Box room keys are handled only by the Hall Residence Manager, House Residence Manager, and Residence Student Assistants.
  • Although Hobson Hall takes every precaution to keep your items safe, please remember that all items are stored at your own risk. The university will not take any responsibility for any items that go missing from rooms. Residence staff are not responsible for any loss or damage.
  • The box rooms will only be open at specified times. Please ensure you have made the necessary box room arrangements with your Residence Student Assistants and/or House Residence Manager.
  • The box rooms are not opened during vacation periods. If a student needs access before the start of the first term, they must arrange this in advance with the relevant House Residence Manager and Residence Student Assistants.
  • Packing and Labelling:
    • Trunks and boxes, etc., may be left in the designated box-room areas.
    • Seal all boxes and trunks securely and label your belongings clearly with your full name written on them. Please pack items such as continental pillows, teddy bears, etc., into boxes. Do not leave anything loose.
    • Ensure that all your details are recorded properly on the appropriate form and signed.
  • Do not pack academic textbooks/notes that may be needed for supplementary examinations, etc., in the new year. Take these items home with you. There will be no access to box rooms at all over the vacation period as all House Wardens and the Hall Administrator will be away/on leave.

General Rules:

  • Do not leave luggage or boxes in landings or passages. Items left outside box rooms will be donated to charity.
  • All items stored in box rooms must be removed by the end of the second-term vacation. After this, unclaimed items will be donated unless alternative arrangements have been made in writing with the House Residence Manager.
  • If leaving the residence permanently, collect your belongings by the end of the first vacation (April). Make the necessary arrangements must be made in writing with the House Residence Manager. All unclaimed items will be donated to charity.

 

Note: Ensure all arrangements are made well in advance, and follow these protocols to avoid inconveniences or penalties.
