Early Arrivals and Late Departures Information

Rhodes University has an Early Arrival and Late Departure Protocol for students residing in the residences. Failure to follow these procedures will result in fines or disciplinary action.

Important Guidelines

  • Students wishing to return more than 24 hours before the residences officially open or depart more than 24 hours after the residences officially close must apply to the Conference Office (conference@ru.ac.za). Students must ensure that they have informed the Residence Manager and Hall Administrator.
  • All students who are required to return before the official term begins due to academic reasons will be liable to pay for their early arrival. This includes postgraduate students who are residing in undergraduate residences.
  • All early arrival and late departure applications must be electronically completed and sent to the Hall Administrator (n.botha@ru.ac.za) for the Residence Manager and Hall Residence Manager approval and processing.
  • Students must provide evidence of valid reasons (e.g. limitations of public or Rhodes transport, schedules for long-distance flights). Ensure that your request has been approved before travel arrangements are made.
  • Students staying beyond term dates for academic purposes must apply and will be charged accordingly.
  • Departments requiring students to return early for teaching purposes are requested to inform the Division of Student Services and Development Manager (studentaffairs@ru.ac.za) of the dates before the end of the preceding term.
  • Payments for early arrivals and late departures must be made before a booking is confirmed. Costs can be charged to student accounts with a credit balance sufficient to cover the amount due. Otherwise, advance payment must be made.
  • Residence staff are on leave during vacations and unavailable for unscheduled requests.

Note:

  • During Terms 2 and 4, students must depart 48 hours after their last examination. Vacation accommodation is not available.
  • All students who remain late will be charged the standard daily rate.

 

Students will receive a disciplinary fine if the Late Departure or Early Return protocols are not followed. Please remember that the Hall / Residence Managers and Hall Administrator are on leave during the vacation and are not required to be available.

 

Special provisions for Residence Student Assistants and Hall/House Committee Members

  • Residence Student Assistants usually return by 10h00 on the Saturday before the start of term.
  • All Residence Student Assistants are provided with access and meals, based on the information on the Residence System.
  • Residence Student Assistants must return for leadership training by the Friday, and House Leadership teams must usually return for leadership training by the Monday before first-year registration begins.
  • All costs for the meals and accommodation of Residence Student Assistants are covered by the University, as well as the costs for the early return of ten House Committee members per residence. In addition, the costs of the Hall Senior Student, the Hall SRC Representative and any additional Hall Representatives will be covered by the University.
